The short version. Lexware is local-first software. Your documents, matters, and everything you do inside the app stay on your device — we have no server that receives them and no ability to access them. The only exceptions are features you invoke yourself that send content to a third party of your choosing (see section 2). The only personal information we hold is the small amount we need to run the beta program itself: who you are, how to reach you, and what you tell us.
1. Information we collect about you
As a beta tester, we collect:
- Contact and professional details — your name, email address, chambers or firm, and role, provided when you join the program.
- Feedback and support correspondence — bug reports, feature requests, emails, and messages you send us, including any screenshots or files you choose to attach.
- Distribution and update records — macOS builds are downloaded through a password-protected link on lexware.ai, which serves the build from our public releases repository on GitHub; the app also checks that repository periodically for updates. Those requests include standard technical details (app version, operating system, IP address), which are processed by our website host (Cloudflare) and by GitHub under their own privacy policies. Windows builds are distributed via Dropbox shared links; Dropbox may log access to those links under its own privacy policy.
- Diagnostic bundles — the app can assemble a diagnostic bundle (application logs, version, and system information) to help us investigate a problem. Bundles are created only when you choose to create one, are stored locally for you to review, and reach us only if you send them. They are designed to exclude document content, but see section 3.
We collect this information directly from you. We do not collect it from third parties, and we do not use cookies or tracking technologies in the application.
2. Information the software processes — but we never receive
In ordinary use, Lexware processes documents you load into it, which may include personal, sensitive, and legally privileged information about your clients and other parties. All of this processing occurs locally on your device, and the application never transmits document content, metadata, indexes, or derived data (including output of the anonymisation features) to us.
Some features, when you invoke them, send content to third parties you choose: for example, "Send to LiquidText" transmits the selected material to LiquidText, and the AI integration sends the content you submit to the AI provider you have configured. These transfers happen only at your direction, go directly from your device to that provider, and are governed by the provider's own terms and privacy policy — we are not party to them and do not receive the content. It is your responsibility to satisfy yourself that any provider you connect is appropriate for the material involved.
We are not the collector or holder of your matter information for the purposes of the Privacy Act 1988 (Cth) — you (or your instructing solicitors) remain its custodian, and your professional obligations in respect of it are unaffected.
3. A note on privileged material in feedback
Please do not include client documents, privileged material, or confidential matter information in bug reports, screenshots, or correspondence with us. Use dummy or anonymised material to reproduce issues. If we receive material that appears privileged or confidential, we will delete it and let you know.
4. How we use your information
We use the information in section 1 only to:
- administer the beta program (distributing builds, licence keys, and updates);
- respond to your feedback and provide support;
- improve Lexware; and
- contact you about the beta and, with your consent, about the commercial release.
We do not sell personal information, use it for advertising, or share it with anyone except service providers we use to run the program (currently email and file-distribution services, which may store data outside Australia, including in the United States).
5. Security and retention
We take reasonable steps to secure the information we hold, including encryption in transit and access limited to the people running the program. We keep beta program information only as long as needed for the purposes above.
6. Access, correction, and complaints
You can ask us at any time to access, correct, or delete the personal information we hold about you, or to leave the beta program, by emailing support@lexware.ai. We will respond within 30 days. If you are unhappy with our response, you may complain to the Office of the Australian Information Commissioner (oaic.gov.au).
7. Our approach to the Privacy Act
Lexware Pty Ltd currently falls within the Privacy Act's small business exemption. We nonetheless handle personal information in line with the Australian Privacy Principles as a matter of practice, and this policy is written on that basis.
8. Changes
We may update this policy during the beta and will notify testers by email of any material change.
