Correspondence and the Intray

Lexware treats email as evidence in its own right: messages open as messages, supported attachments become readable documents, and ad-hoc arrivals wait in the Intray until you decide where to file them. Emails imported with the initial brief are already part of that brief.

Bringing an email in

An Outlook .msg or standard .eml file imports like any other document — drop it on the Intray or let it come in as part of a brief. Its attachments come with it: PDFs, Word documents, PowerPoint decks, spreadsheets, images and even emails-within-the-email all become openable documents, and anything Lexware can't open is still listed on the message so you know it exists.

Reading an email, safely

An email opens as the message you'd recognise — sender and recipients, the sent date, the attachments, the body — with a find-in-email bar, and it can sit side by side with a document, the way you'd check a letter against the contract it talks about. Select a passage and you can send it to the scratchpad or cite it on a chronology event, just as in the PDF reader.

The email reader does not load remote content. Lexware removes scripts, remote pictures, tracking pixels and link attributes from email bodies before showing them. Basic text formatting can remain, but the original email's styling and remote images do not. Reading the message inside Lexware does not send a read notification to its sender.

The Correspondence view

The Correspondence section gathers the matter's emails into one list, grouped by month, newest first (or oldest — your choice). A paperclip marks messages with openable attachments. Click a row and the email opens in a reading pane below or beside the list. Use the filters together to narrow the record:

  • Involving … and … — choose people or email domains to find messages involving both selections, including people copied on a message.
  • Inbox and Outbox — tell Lexware which side is yours (a person or a whole firm's domain) and the list splits into what your side received and what it sent.
  • Volume, Category and Tag — narrow the list by where the emails are filed and how they are classified. The Volume filter accepts several volumes at once.
  • Search correspondence… — searches senders, recipients, subjects and the message text itself.

Correspondence also opens in its own window — right-click it in the sidebar and choose Open in new window — which earns its keep during a hearing.

Attachments — including the buried ones

An email's Attachments tab lists its attachments, with an inline preview for PDFs and Word documents that can be rendered. For an attachment that is ready to file, File in Brief puts it in Loose papers and keeps its link to the covering email. This also works inside an attached email: open the nested message, select its attachment and file it. Attachments still waiting in the Intray must be filed there first.

The Intray

The Intray button sits in the top bar of every view, with a badge showing how many arrivals are waiting — it's the front door for everything that turns up after the brief. Drop in a PDF, a Word document, a spreadsheet, an image, a forwarded email or a whole .zip (a password-protected zip asks for its password rather than failing). A forwarded email opens into its attachments, arriving together as one batch, each marked from the sender · re the subject so the provenance is never lost.

For an ordinary document, Quick file sends it to Loose papers. Expand the item to choose a volume, deal with a possible new version, or use a separate suggestion to add it to Pleadings, Authorities or Transcripts. Numbering and any view-specific import happen when you confirm. The short-lived Undo action reverses an ordinary filing.

A PDF carrying attached PDFs is one arrival with a File bundle action, including when that PDF arrived as an email attachment. Its intact cover and attached PDFs go into a binder together; non-PDF attachments stay inside the cover and are disclosed as unsupported. Follow progress, stop, retry or undo the filing in Activity.

Lexware identifies ordinary exact duplicates and offers to open the document already held. If an arrival looks like a new version, choose File as new version to retain the earlier copy as hidden and give the replacement its name and place, or Keep both. Earlier markings stay with the earlier document and can be recovered through Show hidden. A PDF bundle's members remain distinct documents even if their bytes match other papers. Replacing a bundle retains the earlier delivery and its marks, and leaves papers you have refiled elsewhere alone.

Filing itself does not add chronology events. Date scanning for pending PDFs and Word documents runs only when you choose Scan dates; by default, any candidates wait in Review. Covering emails stage their sent dates on arrival.

Sending straight from Outlook

With the Outlook add-in set up and Lexware running, open a message in Outlook, open the Send to Lexware pane, pick the matter and send. The email and its supported attachments land in that matter's Intray. The handoff from the add-in to Lexware uses a local connection on your computer; your usual Outlook mailbox service still supplies the message.

Setup is under Settings → Outlook:

  1. Use Reveal manifest, then follow the displayed Outlook instructions to add the supplied manifest.xml as a custom add-in.
  2. Choose Trust certificate and approve the operating system's prompt for Lexware's local connector.
  3. Open the add-in in Outlook. Enter the six-digit code it shows in Lexware's Connect Outlook row and click Connect. Codes expire after five minutes.
